The Role: Facilities & HR Administrator

Salary: Up to £30,000pa
My client is a highly successful, global, Facilities Management company who provide bespoke solutions to an enviable client list.
As their profile of embedded client services continues to grow, they are now looking to appoint a Facilities & HR Administrator to the team who sit within the client business in the City of London.
About the Role:
To assist in providing an effective facilities service on the client site by ensuring all areas of responsibilities are administered in accordance with the contract specification.
To be the on-site contact between head office enquiries and information requests and point of contact for site-based employees for general administration queries.
To assist in ensuring implementation of systems and processes are monitored and govern the delivery of all services at properties throughout the UK ensuring they comply with regulatory requirements.
To deal with all HR matters of company staff on site and liaise with Company HR and account manager
Key Responsibilities
- Effectively manage and keep updated the electronic filing system, general administration duties, monthly / quarterly reports preparation, assist in purchase order raising and issuing to the supply chain, updating the site operations and asset manuals, minute taking, general enquiries and continual systems development
- Support the heads of departments and Account Manager in their respective areas when required
- Manage annual/ monthly/ weekly calendar - attendance tracker - annual leave calendar - sickness including notifications to HR
- Manage and follow up training planner/ completion records
- Provide consistent contact for those on long term sick/ on furlough
- Replying to and chairing meetings with staff on sick leave
- Compile furlough lists
- Update Prism/ SharePoint/ PowerBi
- Liaise with HR partner
- Contribute to development, maintenance, implementation and promotion of integrated management (quality, health, safety & environment) systems and processes through mobilisation and account life cycle
