We are recruiting for an interesting and fast-paced role which would suit an analytical thinker who is great with detail. The role is working for a hard services FM business and manage all engineering quotations coming in, be that for planned and reactive work, breakdowns or life cycle and small works projects.

The quotations administrator will manage the quotations process, taking the incoming requestions from the helpdesk and submitting the requirements to relevant subcontractors to obtain a quote for the work. You will then analyse and carefully check the quote and format it to meet the client SLA before submitting.

As a lot of the quotes are repeat jobs, the ideal candidate will also look to create a quotation’s database in order to have the quotation details on hand and to increase efficiency and speed of job turn around in the future.

Duties of the role include:


  • Work closely with internal teams, including Finance, Operations, Supply Chain and Compliance to gather insights and ensure alignment with organisational goals.
  • Collaborate with vendors and Supply Chain Partners to obtain competitive quotes for materials and services.
  • Evaluate and negotiate pricing to ensure cost-effectiveness.
  • Producing quotations received from Supply Chain Partners and issue to clients a timely manner.
  • Create comprehensive reports on key KPI’s, SLA’s and communicate benchmarking findings. Clearly articulate insights, recommendations, and actionable strategies.
  • Maintain and update a centralised cost database, keeping abreast of market trends, pricing fluctuations, and industry changes to ensure the accuracy of estimates.
  • Reviewing and obtaining approval for uplifts on tasks.

The ideal candidate will have the following skills and experience:


  • Come from a background in either FM, engineering, quantity surveying or construction.
  • The ability to negotiate with vendors and subcontractors to obtain the best possible pricing and terms.
  • Develop good and effective relationships with all aspects of the business internally and externally.
  • Excellent planning and organisational skills.
  • Excellent written and oral communication skills.
  • Exemplary attention to detail and excellent communication skills.
  • A positive and resilient attitude with a high level of self-motivation.
  • The ability to make decisions, take ownership and use your own initiative to resolve problems.


  • 3 years of experience in benchmarking, data analysis, or a related field. Experience within Facilities Management is desirable.
  • Excellent working knowledge of IT systems Specifically Excel and Office.
  • Previous Customer Service experience.
